Here is the step-by-step guide to follow when applying for a duplicate logbook for a motor vehicle. A logbook is one of the most important documents for vehicle owners, as it proves ownership of a vehicle. It is also important because it can be presented as collateral when taking out loans and must be transferred when selling a vehicle.

In cases where a vehicle owner loses the logbook, the Traffic Act stipulates that the owner shall apply for a duplicate certificate for replacement. The National Transport and Safety Authority (NTSA) provides a mechanism for replacing a log book. It is important to note that the process is done online through the NTSA TIMS citizen self-service portal.

What is a Duplicate Logbook?

A duplicate logbook is a replacement or copy of the original document that proves ownership of a motor vehicle. It is issued when the original logbook is lost, stolen, or damaged, and it contains the same information to demonstrate ownership of the vehicle.

How To Replace A Lost Logbook In Kenya

Unlike in the past, when Kenyans seeking a replacement were subjected to long queues at Times Tower or the NTSA offices, the service is now available online. Without further ado, here is how to replace a lost logbook in Kenya.

  1. Log into your E-Citizen account. If you don’t have an account, you can create one.
  2. Select NTSA Service Portal (New).
  3. Click on the “Motor Vehicle Registration” tab.
  4. Click on the “Apply for Duplicate Logbook” link.
  5. Enter the vehicle’s registration number.
  6. Select the reason for applying for a duplicate logbook.
  7. Fill in the required details.
  8. Upload the police abstract, tape lift report, and sworn affidavit as one document.
  9. Select the logbook counter collection office.
  10. Enter the details of the authorised person to collect, then click search.
  11. Scroll down and tick the declaration box, then click Preview.
  12. Pay the required fee of Ksh 2,500.
  13. Submit your application and click complete.

According to NTSA, the logbook will be available within 3 working days.

NOTE: This process will apply to all motor vehicles and motorcycles, including boda bodas.

Requirements for a Duplicate Logbook in Kenya

  1. Report the loss or damage to your logbook to the police and obtain a police abstract.
  2. Obtain a tape lifting report from DCI. This involves verifying your vehicle’s chassis and engine numbers to confirm whether the details match the registration documents. Upon securing the tape lift, the vehicle owner now has the green light to apply a duplicate logbook.
  3. An affidavit. This is a sworn statement witnessed and signed by a lawyer stating that you are the rightful owner of the vehicle whose lost logbook is lost.

NOTE: All motorists will be charged an extra Ksh 50 as the service charge to access their E-Citizen account. This is in line with NTSA’s migration to the eCitizen platform as directed by President William Ruto, who envisioned a single-pay bill for all government services, a move he stated would streamline processes and stamp out corruption. As a result, one will be required to pay a total fee of Ksh 2,550 to access a duplicate logbook.
